In engineering lighting projects, a quotation is never just a price.
Recently, we worked on a hospital lighting project in Germany. The client initially shared a very simple product list — only a few pages outlining different lighting requirements across the hospital.
this is from the customer original file
Behind that short list, however, was a highly complex project.
- Operating rooms & patient wards: antibacterial luminaires with IP65 protection
- Lobby, offices & corridors: troffers designed for comfort and visual consistency
- Hospital kitchen, canteen & storage areas: food-grade clean luminaires
- MRI rooms: non-ferrous (non-magnetic) panel lights
- Additional requirements: dimming systems, emergency lighting, and regulatory compliance
This was never a case of selecting a few models and filling in prices.
From a Simple List to a Complete Solution
Our first step was to carefully review every single line of the client’s list.
Based on our experience with hospital and healthcare projects, we spent several days:
- Analyzing each application area in detail
- Matching the correct luminaire type to each scenario
- Confirming antibacterial, IP rating, and non-ferrous requirements
- Designing compatible dimming and emergency solutions
- Verifying certifications and compliance
- Preparing structured quotations, technical explanations, and datasheet files
What we delivered was not just a quotation — it was a complete, project-ready solution package that the client could confidently present to consultants, contractors, and end users.
Following are the full documents of one solution of the entire project we prepared for our customer
1. Quotation file (Our price list shows every details that customer may consider, we can see the clear picture, detailed specifications & materials used, single packing details and total packing information for shipment evaluation, terms, lead time...)
2. Product Datasheet (this is important document for a project, everything should be clear and professional in the datasheet)
3. LED driver datasheet (critical part datasheet usually be required in lighting project)
4. Emergency kits datasheet (the important document for emergency lighting application)
5. LED panel antibacterical test report (this is normally required in hospital and healthcare projects, but in practical application there are very few suppliers can provide such a formal test report)
6. LED LM80 test report
7. LED panel light IES test report (we can provide professional light-distribution photometer test report with IES file for DIALux evaluation)
8. CE certificate
The Real Value Behind a Quotation
As a supplier, we believe that the value of a quotation does not lie in the number itself.
It lies in whether the quotation is:
- clear
- professional
- technically reliable
- and able to stand up to scrutiny
Clients need this level of detail to convince end users, win projects, and ensure smooth project execution.
This is a principle that Unicopper has always believed in: treat every quotation with seriousness, precision, and responsibility.
The Time and Effort Behind Engineering Projects
From quotation to final order, engineering projects require a significant investment of time and energy.
Even a single quotation often involves:
- continuous communication with factories
- discussions with engineering and technical teams
- coordination with material and driver suppliers
- repeated clarification with the client
- preparation and revision of technical documentation
These efforts are rarely visible — but they are always there.
A Quotation Is a Collective Effort
A professional project quotation is never the result of one person’s work.
It requires close cooperation between:
- manufacturing teams
- engineering and technical departments
- documentation and design teams
- component and driver suppliers
Every detail must be confirmed — because in engineering projects, details matter.
Details Define Professionalism
In this German hospital project, just one complete datasheet took almost an entire working day to finish.
Design, layout, editing, reviewing, and cross-checking — every specification and description had to be precise to avoid misunderstanding.
In project lighting, even a small misinterpretation can lead to major issues later.
Even When Success Is Not Guaranteed
Many quotations never turn into orders.
We know this — and we still do the work.
Because our goal is that even if we are not selected in the end, the client walks away with professional, reliable documentation that helps them move the project forward and pass approvals smoothly.
Time Selects True Partnerships
Our longest Italian government project took three years from the first quotation to the first shipment.
A large construction project in the UK took two years.
These experiences have taught us that engineering projects are not about speed — they are about patience, consistency, and trust.
Final Thoughts
Not every supplier is willing to invest this level of time and effort at the quotation stage.
Often, a complex product list is met with nothing more than a few numbers added in the last column — with little explanation or support.
We chose a different path.
It requires patience. It requires commitment. And it requires the willingness to do things properly.
At Unicopper, we do our part thoroughly, deliver our best work, and place our trust in the client — then wait.
Because we believe that professional, well-structured solutions build confidence.
Working with Unicopper means more than product pricing:
- comprehensive lighting solutions
- efficient and transparent communication
- deep industry experience
- a long-term, reliable partner
Behind every unanswered email and every waiting period, there is real work quietly being done.
A professional quotation is not about being the lowest. It is about being the clearest, the most reliable, and the easiest to trust.
